Waggle AI allows you to customize its participation in meetings based on your preferences and organizational settings.
Instead of a simple toggle, you can now select from five permission levels to control when the AI joins your meetings.
This option is available both in Settings (found in your profile) and in your calendar view, where you can access these options at all times.
🤖How to Enable Waggle AI for Meetings
Navigate to your Calendar view or your profile and select Settings.
Under "When should Waggle join your meetings?" choose one of the five options:
Meetings with a video link – AI joins any meeting that has a video conference link.
Meetings where I am the host – AI joins only meetings that you organize.
External meetings – AI joins only meetings with participants outside your organization's email domain.
Internal meetings – AI joins only meetings with participants within your organization's email domain.
Meetings I manually select – AI remains off by default, and you manually choose which meetings it joins. This can be set based on your organizational preferences or the type of insights you’d like.
Click Confirm & continue to apply the changes.
Waggle AI will now follow the selected participation rules for your meetings.
If you've set Waggle AI to Manual Selection, you’ll see a reminder on your calendar to help you set it up for specific meetings.
When a meeting starts, ensure you admit Waggle AI if prompted, unless the host has set restrictions.
👍🏻How to Enable Waggle AI for All Meetings if the Permission Level Has Been Set to Manual Selection
In your calendar view, above Today’s Action Items, you'll find the prompt “AI insights for your meetings”.
Click Enable AI insights for my meetings.
Select your preferred AI participation level from the five available options.
Confirm the action by clicking OK.
Ensure you admit Waggle AI when your meeting starts, if required by the meeting host.
You can always adjust the AI participation settings in your Settings (found in your profile) or directly in your calendar view.
🛑How to Disable Waggle AI for All Meetings
Navigate to your Settings (found in your profile) or your calendar view.
Select Meetings I manually select to disable Waggle AI by default, requiring manual activation for specific meetings.
Click Confirm & continue to update your settings.
Waggle AI will no longer join meetings unless manually enabled.
You can also disable AI participation for individual meetings directly from your meeting schedule by toggling it off.
👩🏻💻How to Enable or Disable Waggle AI for Individual Meetings
In your personal dashboard, your meeting schedule displays which meetings have Waggle AI enabled.
Toggle AI participation on or off for specific meetings directly from this view.
Within each meeting, find the Waggle AI toggle in the top-right corner to adjust AI participation for that session.
Note that the meeting host may have set permissions that allow Waggle AI to join even if you’ve disabled it or prevent it from joining even if you’ve enabled it.

If you are hosting an in-person meeting, you need to request permission to start a voice recording (video isn't recorded).

⚡Keeping Track of Your AI Settings
There are three ways to monitor and adjust your AI participation settings:
Settings Page – Manage AI preferences across all meetings.
Meeting Type Preferences – Set AI participation based on internal, external, video-enabled, or organizer-led meetings.
Manual Adjustments – Toggle AI participation for individual meetings directly from your personal dashboard.
💛Tip for Maximum Value
For the best experience, choose an AI participation setting that aligns with your organization's preferences, meeting workload and collaboration style.
If AI participation is allowed but not required, remember that you must admit Waggle AI to each meeting, similar to other recording tools like Otter or Fireflies. Always check with the meeting organizer if unsure.
By customizing your AI settings, you ensure that Waggle AI provides insights only where it’s most valuable to you and your team.
