Effective one-on-ones are crucial for managerial success, yet many managers struggle to prepare meaningful agendas that go beyond status updates.
Waggle AI simplifies this process by generating structured, personalized agendas that improve alignment, facilitate meaningful feedback, and support professional development; giving managers the confidence to lead impactful conversations that strengthen team relationships and enhance overall performance.
Here’s how you can set up and use Waggle AI for better one-on-ones:
Step 1. Identify your direct reports
Note: Your direct reports do not need Waggle AI accounts for you to generate 1-1 agendas
After syncing your calendar during setup, Waggle AI will prompt you to identify your direct reports:
Confirm which calendar contacts are your direct reports.
This helps Waggle AI understand the relationship context for upcoming one-on-one meetings.
Proper identification impacts team dynamics metrics.
Optional: If you want your team members to access Waggle AI features:
Invite them to create Waggle AI accounts.
Check the Teams section in your profile to view all members in Your Team.
For guidance, refer to "How to add your team members to Waggle AI"
Step 2. Select these meeting types as a 'One-on-One' Ritual
Existing meetings from your workspace calendar can be selected as one-on-one rituals in Waggle AI. This helps Waggle AI understand their context and enables agenda generation options.
To set this up:
On your personal dashboard, Waggle AI will prompt you to select a meeting type for your upcoming meetings.
You can also select 'One-on One' ritual directly in your event on your calendar.
Alternatively, create a new one-on-one meeting from Waggle AI using the "+ Add Meeting" button, selecting "One-on-One" as the ritual type.
Step 3. Set the Context for Personalized Agendas

When setting context, you'll answer the following 9 questions about your team member:
Step 4. Generate and Use Your Agenda
After setting the context, Waggle AI will generate an agenda within seconds.
Click "See Suggested Agenda" to review the topics.
Each agenda includes:
4-5 key discussion topics
Explanations of their importance
Suggested introductions to start the conversation
Questions to help guide the discussion
⚠️ Note: The explanations, introductions, and suggested questions remain private to you as the manager.
If you choose to use the agenda, it will be updated in the public notes section but is only visible to your team member if they have a Waggle AI account.
Step 5. Finalize Your Agenda:
Edit the suggested topics as needed.
Click "Use this Agenda" to add selected items to your meeting notes.
The main topics of the Agenda will appear in the meeting event and will be visible to your team member if they have a Waggle AI account.
The support content on how to cover the agenda effectively remains private to you as you progress through the meeting regardless of whether or not your team member has a Waggle AI account.
💡 Pro Tip: Update the context periodically to ensure your one-on-one agendas stay relevant as your team members' roles and challenges evolve.
With Waggle AI, you can create structured, effective one-on-ones whether you're meeting remotely or in person.
The AI-generated agenda keeps conversations focused, meaningful, and tailored to each team member, helping you drive better alignment, engagement, and growth in your team.
