Notification about Waggle Bot Joining Your Meeting
As the meeting owner, you can automatically notify attendees when a Waggle Bot is scheduled to join a meeting you've scheduled. This helps set expectations, fosters transparency, and gives everyone a heads-up about Waggle’s role in the meeting.
What the Notification Includes
When enabled, attendees will receive an email titled "Waggle Bot Will Join Your Meeting Tomorrow."
The system currently sends notifications 24 hours in advance only.
The notification content is standardized and cannot be customized.
The email includes:
The name of the meeting (e.g., Weekly Content Review)
A brief explanation of Waggle’s role
The names of a few people who invited the bot, including the meeting owner
A short guide on how Waggle helps during the meeting, including:
Hands-free note-taking
Action item recaps
Optional skill feedback
A shared knowledge hub for your team
A reassurance that Waggle Bot keeps information secure, never shares meeting content without consent, and provides support contact information ([email protected]).
⚠️ Note: If multiple people (e.g., 4+) have invited Waggle, not all names will be listed. The email will show your name (as the meeting owner) and 1-2 others who have also invited Waggle.
To see which attendees have or haven’t invited Waggle, you can check these details for your next meeting in your Waggle dashboard or view information for your next 5-6 upcoming meetings in your schedule. This includes the calendar view of events and details within each individual meeting event in your Waggle calendar.
Who Gets Notified?
You can choose who receives notifications for the meeting you own:
✅ All participants – Everyone invited to the meeting
🌐 External participants only – Only attendees outside your organization
🆕 New participants only – Only people who haven't attended a Waggle-enabled meeting before
🔕 No notifications – Turn off notifications completely
Manage these settings in Profile > Settings > Bot Settings.
